FRONT DESK ADMINISTRATOR

  • Overall purpose of the job: In charge of managing the reception, and supporting in administration duties.
  • Contractual Period: Two year renewable contract based on performance and funding

Key Duties & Responsibilities
Under the direct supervision of the Human Resource Officer, the incumbent will:

  • Manage the reception and the front desk operations.
  • Receiving of incoming calls and directing them to relevant staff.
  • In charge of coordinating incoming and outgoing mails.
  • Receiving of guests.
  • Support in the coordination of donor roundtable meetings.
  • Provide support in administration issues to the heads of department.
  • Assist in devising and maintaining office systems including data management and filing.
  • Support in minute taking.
  • Support the coordination of office administration and security.
  • In charge of stock taking for office supplies.
  • Perform any other duties as may be assigned.

Qualifications & Experience

  • A Diploma in front desk administration or its equivalent.
  • At least two years’ experience in carrying out administration duties.
  • Experience using a document management system will be an added advantage.
  • Should be proficient in Microsoft Office skills.
  • Excellent oral and written communications skills.
  • Ability to maintain confidentiality of sensitive information.
  • Should be proficient in operating a switch board.
