The Kenya Investment Authority (KenInvest), whose mandate is to promote and facilitate both Domestic and Foreign investments in Kenya, seeks to recruit suitable candidates for the following position:-

EXECUTIVE ADMIN ASSISTANT TO THE MANAGING DIRECTOR
Reports to: Managing Director
Division/Section/Unit: Managing Director’s Office

Responsible for:

  • Office Assistants
  • Managing Director’s Driver
  • Interns
  • Temporal staff

Job Purpose:
To offer support services to the Managing Director by providing administrative and office related duties.

Roles and Responsibilities

  • Managing the schedule of the Managing Director, highlighting activity timing and schedules;
  • Assisting investors, visitors and enquiries to the Managing Director’s office and directing them to relevant departments/ units;
  • Drafting correspondences for MD’s consideration;
  • Carrying out background research on topical issues as may be required from time to time by the Managing Director;
  • Assisting in preparation of incoming and outgoing missions by making follow-ups traveling schedules, MD travel clearance, etc;
  • Tracking implementation of MD’s instructions to other staff and making regular reports; and
  • Performing any other duties as may be assigned from time to time.

Education and Qualifications:
A minimum of a degree from an accredited University with an emphasis in Secretarial Studies/Management, Social Sciences or in a related field. Diploma in Secretarial Studies.

Skills and experience:

  • Five years working experience in a similar position.
  • Basic understanding of management practices.
  • Demonstrated ability as a team leader who can work without supervision and under pressure.
  • Excellent oral and written communication skills.
  • Good interpersonal skills in public relations.
  • Drive and innovativeness.
  • Computer proficiency.
  • Excellent grooming and professional image
  • Integrity and confidentiality.

Key Performance Indicators

  • Timely appointments and response to correspondences.
  • Scheduling and rescheduling of meetings.
  • Well-organized and maintained office.
  • Properly maintained diary.
  • Feedback from stakeholders
