OFFICE ASSISTANT
Reports To: Finance and Administration Manger

Responsibilities

  • Take and relay messages to the respective staff; provide accurate information to callers about the organization
  • Meet and greet persons entering organization and direct them accordingly
  • Monitor visitor access and maintain security awareness.
  • Maintain appointment diary manually and electronically
  • Provide general administrative and program support
  • Assist in handling office petty cash
  • Assist in preparing correspondence and office documents
  • Administrative duties including filing, receive and sort out mail and deliveries
  • Monitor and maintain office equipment and supplies register
  • Organizing rooms, items required and refreshments for meetings
  • Maintain high standards of cleanliness and orderliness
  • Carry out other related tasks as might be required or assigned.

Post Requirements

  • Education Diploma in Business, Public Relations or any related course.
  • Experience Minimum 3-years general office and receptionist experience.
  • Other Legally allowed to work in Kenya and ready to start as soon as possible.

Related Skills or Knowledge

  • Must be fully proficient in MS Office and MS Outlook, Internet
  • Must be skilled to operate a PABX, computers and other office machines i.e. copier etc.
  • Must have good understanding and experience in office administration
  • Ability to perform with minimal supervision
  • Must possess excellent oral and written communication skills and strong interpersonal skills.
  • Incumbent should demonstrate a high level of professionalism and have the ability to work under pressure and meet deadlines
  • Must have the ability to multi-task while paying close attention to details.
  • Demonstrate a high level of integrity and professional maturity
  • Highly motivated, strong team player
