Tangaza College is seeking to recruit a dynamic, qualified and result oriented person to fill the position of Administrative Assistant.

ADMINISTRATION ASSISTANT
Reports To: ISC Director
Department: Institute of Social Communication
Employment Status: Contract

Primary Duties and Responsibilities
  • Performs all ISC office secretarial duties
  • Arranges appointments with ISC staff as and when appropriate
  • Screens all incoming telephone calls
  • Writes letters instructing applicants about the procedures for admission
  • Assists the administration Officer in Screening all applicants to identify the missing requirements and informs the applicants of the same
  • Organizes the timetable drafts supervised by the academic advisor
  • Types all ISC meetings minutes
  • Assists in the filing and keeping of ISC documents
  • Functions as a Property Custodian* in relation to the use and booking of equipments by students under supervision of the Assistant Director of Technical Affairs.
  • Handles all ISC contacts with the Media organizations for students’ Media Experience and Attachment, writes letters to those organizations and performs basic public relations tasks with the church organization and other organizations.
  • Opens and closes ISC classrooms, lecturer’s rooms/offices and labs according to the time table or the booking form.

*Subject to further instructions and guidance and could evolve in time.

Job Specifications

  • Be a holder of at least a Diploma in secretarial/administration studies, a BA in Business Administration or Social Communication is preferred.
  • Must be Computer literate with good knowledge and practical experience in basic Microsoft packages and Page Maker.
  • Good command of the English language both written and spoken
  • Possess excellent communication skills
  • Ability to work independently, accurately, neatly and maintain a high level of confidentiality
  • Ability to take minutes in meetings effectively and efficiently
  • Good presentation and a pleasant manner coupled with good social manners.
  • Should possess at least one year secretarial/administration experience in a busy environment preferably an education institution.
